ABA Elected Officers Roles & Responsibilities
I. President
As the highest ranking officer of the Board of Directors, the Board President will provide leadership to the Austin Bellydance Association (ABA) in fulfilling its mission to provide a common meeting ground for persons with an interest in belly dance, provide a supportive atmosphere in which to perform, expand knowledge of belly dance as an art form, offer special gatherings for members, and serve, educate, and benefit the Austin belly dance community. The President will support and sustain the work of the ABA, and provide governance leadership and strategic fundraising support. Specific responsibilities include:
Leadership, governance, and oversight

As a board member, approving ABA’s annual budget, tax reports, and material business decisions; being informed of, and meeting all, legal and fiduciary responsibilities

Developing and managing relationships and communicating with: members, partners, and other stakeholders
-
Calling Board meetings and notifying officers of the time and place of the meetings
-
Setting priorities and creating agendas for Board meetings
-
Presiding over meetings of the Board and Executive Committee
-
Along with other Elected Officers, holding final approval on all matters before the ABA
-
Acting as an ambassador for the ABA in the Austin belly dance community advocating its mission to internal and external stakeholders
-
Ensuring ongoing recruitment and development of new Board members
-
Ensuring ABA’s commitment to a diverse board that reflects the Austin belly dance community
Finance
-
In collaboration with the Treasurer, developing multiple strategies to generate annual revenue and fostering ABA’s overall financial health
-
Submitting an annual budget to the Board for approval
-
In the absence of the Treasurer and Association Agent, signing checks with approval of the Board
-
Serving the ABA membership without remuneration, except for administrative support, travel, and accommodation costs in relation to President duties
Time Commitment and Expectations

Attending and participating in a minimum of 6 scheduled meetings a year
-
Attending and supporting ABA performances and special events
-
Supporting the Austin belly dance community as a whole
Term
The ABA President will serve a two-year term to be eligible for re-election for no more than three consecutive terms in any combination of Elected Offices. Following a one-year absence, member will be eligible to hold an Elected Office again.
Qualifications
The ABA President should be an active and passionate member of the Austin belly dance community who has a track record of local leadership. Ideal candidates will have the following qualifications:

Active membership of the ABA in good standing

Experience with significant leadership accomplishments in the Austin belly dance community

Commitment to accuracy, transparency, and timeliness of all association activities
-
Savvy diplomatic skills and a natural affinity for cultivating relationships and persuading, convening, facilitating, and building consensus among diverse individuals
-
Written and oral communication skills coupled with natural affinity for public speaking
-
Ability to work well with others as a member of a collaborative group with group decision-making authority and an understanding of the fiduciary duties of loyalty, care and obedience
-
Personal qualities of integrity, credibility, and a passion for belly dance
-
Strategic vision and foresight to ensure the association is positioned to serve the needs of the belly dance community
II. Vice-President
As the second-highest ranking officer of the Board of Directors, the Vice-President will provide leadership support to the Austin Bellydance Association (ABA) in fulfilling its mission to provide a common meeting ground for persons with an interest in belly dance, provide a supportive atmosphere in which to perform, expand knowledge of belly dance as an art form, offer special gatherings for members, and serve, educate, and benefit the Austin belly dance community. The Vice-President will support and sustain the work of the ABA, and provide governance leadership and strategic fundraising support. Specific responsibilities include:
Leadership, governance, and oversight

As a board member, assist in approving ABA’s annual budget, tax reports, and material business decisions; being informed of, and meeting all, legal and fiduciary responsibilities

Developing and managing relationships and communicating with: members, partners, and other stakeholders
-
In the absence of the President, performing all necessary duties of the President
-
Making initial contact for all ABA activities, including performances, seminars, workshops, etc.

With the approval of the board, deciding on terms for participation in ABA-sponsored performances, including the number of dancers, the length of individual performances, and appropriate costuming
-
Along with other Elected Officers, holding final approval on all matters before the ABA
-
Acting as an ambassador for the ABA in the Austin belly dance community advocating its mission to internal and external stakeholders
-
Ensuring ABA’s commitment to a diverse board that reflects the Austin belly dance community
Finance
-
Serving the ABA membership without remuneration, except for administrative support, travel, and accommodation costs in relation to Vice-President duties

The Treasurer will support and sustain the work of the ABA, and provide governance leadership and strategic fundraising support. Specific responsibilities include:
Leadership, governance, and oversight

Assisting in the preparation of the annual budget and its presentation to the board for review

As a board member, develops ABA’s annual budget, tax reports, and material business decisions; being informed of, and meeting all, legal and fiduciary responsibilities

Ensuring timely submission of all government tax filings
-
Helping keep the board informed of important financial events, trends, and issues relevant to the ABA
-
Along with other Elected Officers, holding final approval on all matters before the ABA
-
Acting as an ambassador for the ABA in the Austin belly dance community advocating its mission to internal and external stakeholders
-
Ensuring ABA’s commitment to a diverse board that reflects the Austin belly dance community
Finance
-
In collaboration with the President, developing multiple strategies to generate annual revenue and fostering ABA’s overall financial health
-
Maintaining current and accurate financial records
-
Reporting monthly to the Board each month on all ABA receipts, disbursement, and balance of expenses
-
Receiving and holding all funds of the ABA
-
Paying all authorized bills incurred
-
Signing checks for standing expenses as approved by the Board
-
Providing financial summaries to any member in good standing per request
-
Serving the ABA membership without remuneration, except for administrative support, travel, and accommodation costs in relation to Treasurer duties
Time Commitment and Expectations

Attending and participating in a minimum of 6 scheduled meetings a year

Attending and supporting ABA performances and special events

Ability to work well with others as a member of a collaborative group with group decision-making authority and an understanding of the fiduciary duties of loyalty, care and obedience

Personal qualities of attention to detail, integrity, credibility, and a passion for belly dance
IV. Secretary
As the fourth-highest ranking officer of the Board of Directors, the Secretary will provide support to the Austin Bellydance Association (ABA) in fulfilling its mission to provide a common meeting ground for persons with an interest in belly dance, provide a supportive atmosphere in which to perform, expand knowledge of belly dance as an art form, offer special gatherings for members, and serve, educate, and benefit the Austin belly dance community. The President will support and sustain the work of the ABA, and provide governance leadership and strategic fundraising support. Specific responsibilities include:
Leadership, governance, and oversight

As a board member, assist in approving ABA’s annual budget, tax reports, and material business decisions; being informed of, and meeting all, legal and fiduciary responsibilities

Keeping an accurate record of ABA Board and General meetings, including date, time, location, names of all members in attendance, motions with person making the motion and second, vote counts, and final decisions
-
Distributing copies of Board Minutes and actions to Board Members promptly after meetings
-
Making available for review a copy of the ABA Bylaws, amendments, and Standing Rules during Board meetings
-
Making available results of all votes and meeting minutes to the ABA membership, except for specific subject matter that the Board stipulates as closed because of privacy or other sensitive issues
-
Keeping a current record of membership and distributing it to members at least once a year
-
Handling all ABA correspondence and maintaining all non-financial records in good order
-
Ensuring minutes are taken by an appropriate substitute if absent from meeting
-
Along with other Elected Officers, holding final approval on all matters before the ABA
-
Acting as an ambassador for the ABA in the Austin belly dance community advocating its mission to internal and external stakeholders
-
Ensuring ABA’s commitment to a diverse board that reflects the Austin belly dance community
Finance

Serving the ABA membership without remuneration, except for administrative support, travel, and accommodation costs in relation to Secretary duties
Time Commitment and Expectations

Attending and participating in a minimum of 6 scheduled meetings a year

Attending and supporting ABA performances and special events

Supporting the Austin belly dance community as a whole
Term

Knowledge of meeting procedures, decision-making rules, governance policies and the bylaws of the ABA preferred

Excellent written and oral communication skills coupled with organizational skills

Excellent note-taking, transcription, and computer literacy skills preferred
-
Commitment to accuracy, transparency, and timeliness of all association activities
-
Ability to work well with others as a member of a collaborative group with group decision-making authority and an understanding of the fiduciary duties of loyalty, care and obedience

Personal qualities of attention to detail, integrity, credibility, and a passion for belly dance
